I. Policy Statement

It is the policy of Onondaga Community College to require that candidates for employment possess appropriate license, certification, diploma, prior work experience, and background.  Onondaga Community College will make every effort to insure such requirements are bona fide occupational qualifications and do not impose artificial barriers to employment. 

Onondaga Community College expects that candidates for employment will not materially overstate or misrepresent their qualifications for employment and that employees will take the steps necessary to maintain required certification, licensure, and/or registration. 

Candidates and employees have an obligation to produce timely, appropriate documentation demonstrating they meet the requirements for appointment to a position. 

II. Reason for Policy

To ascertain whether candidates for employment possess licenses, certifications, diplomas, prior work experience, background or other credentials essential to the legal or proper performance of the duties of a position.       

III. Applicability of the Policy

This policy applies to all faculty and adjunct faculty teaching credit courses, all Professional Administrators, and all managerial/confidential employees of Onondaga Community College.  Non-credit instructors are not included within the context of this policy.

VI. Procedures

Human Resources shall maintain in the individual personnel files of all faculty, Professional Administrators, and managerial/confidential employees the following: 

  • letter of application/cover letter;
  • resume/curriculum vitae and employment application; 
  • official transcript(s); and 
  • current certification(s), license(s), and registration(s) required by the State of New York or accreditation bodies.  Copies of the preceding documents are acceptable.    

All employees of Onondaga Community College, upon applying for employment utilizing the College Application process must sign and/or initial an acknowledgement statement attesting the following:

I understand that nothing in this application is intended to imply or create an employment relationship or contract for employment. I certify that, to the best of my knowledge, all information set forth in my cover letter of application, resume, and associated documents and forms (including, but not limited to, transcripts) is true and complete. I authorize Onondaga Community College to investigate and verify any statements made or information contained in these documents. I understand that, any falsifications, misrepresentations or omissions of fact may be grounds for rejection of my application or discharge from subsequent employment and that it will make null and void any pre-employment commitments made by Onondaga Community College. I understand that consideration for employment in this position is contingent upon the results of a reference and background check. I therefore authorize Onondaga Community College and its agents, officers, and employees to conduct an investigation of my background and references as may be considered necessary in relation to this position. I understand that no such investigation can begin prior to my knowledge and concurrence as to my interest in the position. I further understand that individuals whom I have not identified as references will be contacted as well as those whose names I have given to Onondaga Community College. Accordingly, I authorize and request my current/former supervisors, subordinates, and/or colleagues to furnish Onondaga Community College with information concerning my past job performance, character, work history, salary history, educational background, and any other pertinent information considered by the College to be relevant to my qualifications. I acknowledge that federal law requires me to furnish proof of identity and employment eligibility in the event Onondaga Community College offers me employment and I accept said offer. I also understand that should I be offered employment with Onondaga Community College, it will be contingent upon me furnishing these said documents. In doing so, I release from liability Onondaga Community College and its agents, officers, and employees, together with my current and former supervisors, subordinates, colleagues, and others reporting and/or furnishing such information.  

In order to maintain current files on current employees, Human Resources will send notification/reminder to faculty, adjunct faculty and management/confidential staff annually noting employees’ responsibility to maintain accurate and up-to-date credentials with Human Resources. The Academic Affairs will assist Human Resources in ensuring compliance by faculty and adjunct faculty.

Furthermore, Human Resources will conduct an annual audit of employee files whereby 10 files will be chosen at random and reviewed individually for compliance.
